Finance teams

Fewer report requests, because people can just ask

Most finance report requests are one number in a trench coat. They exist because the person who needs the number cannot get it themselves, so the finance team becomes a lookup service.

How does conversational AI help finance teams teams on IFS Cloud?

NgageChat lets finance teams and their internal customers ask IFS Cloud finance questions directly — supplier invoice status, expense approvals, project cost against budget, cost element breakdowns and period balances — answered live from IFS within each person’s own permissions, so restricted data stays restricted.

Who asks what

The people who would actually type into it

AP / AR

  • Which supplier invoices are awaiting authorisation?
  • Which invoices from supplier 1042 are unmatched?
  • What is outstanding past due?

Management accountant

  • Which projects are tracking over budget this quarter?
  • Break down cost by element for the period
  • Show spend by cost centre as a chart

Budget holder

  • How much of my budget is committed?
  • Show my expense sheets that are not approved
  • What was charged to my cost centre in July?

Today

Where the time goes

Finance is a helpdesk for its own data

A large share of the team’s week is answering questions the system could answer, if the asker could reach it.

Approvals stall invisibly

Nobody knows something is waiting on them until it is chased.

Reports proliferate to answer one-off questions

And then have to be maintained forever.

With NgageChat

What changes

  • Budget holders self-serve their own position
  • Invoice and approval status visible to the people it is waiting on
  • Fewer permanent reports built to answer temporary questions
  • Restricted data stays restricted, because IFS enforces it, not the chat

FAQ

Finance teams questions

Will conversational access leak sensitive finance data?
No, unless your IFS permissions already do. Every read is made with the signed-in user’s IFS token, so IFS applies its projection-level permission model exactly as it does in Aurena. A user who cannot open a screen cannot get its data through chat.
Can it create finance records, or only read them?
It can create and progress records where IFS exposes them — expense sheets and invoice flows use IFS action imports, which NgageChat calls after gathering the fields conversationally and confirming the result with you.
Should we replace our reports with this?
No. Use it for the ad-hoc question and the follow-up. Keep durable, scheduled reporting as reporting — and if a recurring answer deserves a permanent home, build it as a report with NgageCode.
